Client Portal — share signage with external clients
The Client Portal lets people outside your company manage their own signage content. A client gets a private web link — no CreaRack account, no login. Through that link they can upload images and videos, build playlists, and publish to the screens you assign to them. You stay in control: you decide which devices, which playlists, and which permissions each client gets.
For CreaRack admins
Create a client project
- Go to Signage > Clients.
- Click New Project.
- Fill in Project Name, and optionally Client Name and Email.
- Set a PIN (optional but recommended — see Security below). Up to 20 characters.
- Tick the Devices and Playlists this client may see.
- Choose Client Permissions: Upload, Reorder (create playlists), Schedule.
- Click Create.
Share the link
Each project card has a Copy Link button. It copies a URL like https://your-crearack-host/client/<token>/ — the token is a long random ID unique to this project. Send that link (and the PIN, through a separate channel) to your client. That is all they need.
Copy Link needs edit access to Signage. A CreaRack user whose Signage permission is only View does not receive the full link — the same protection that already masks the PIN for read-only users. If you can see a project but not its link, ask an Admin or a user with Signage = Edit/Admin to share it.
Rotate the token
If the link leaks, or a client engagement ends, click Rotate on the project card. Confirm, and CreaRack generates a new token immediately:
- The old link stops working at once (visitors get a “not found” page).
- Any PIN session tied to the old link is invalidated too.
- Use Copy Link again to get the new URL and re-share it.
Deactivate or expire access
- Edit a project and uncheck its active state, or Delete it — the portal link goes dead either way.
- A project can also carry an expiry date; once passed, the link returns “not found” automatically. The card shows Expires: with the date.
Security — read this honestly
The link is the key. Anyone who has the URL can open the portal. There is no username or password behind it. So:
- Always set a PIN for anything sensitive. The portal asks for it once per browser session, and blocks brute force: after 5 wrong PINs the portal locks that link for 5 minutes.
- The PIN is stored encrypted in CreaRack’s database, with the same mechanism that protects your device credentials. It stays readable in the project’s Edit dialog for admins and operators — so you can look it up and pass it to the client — while read-only users see
••••instead. - Treat the link like a password: send it privately, never publish it.
- If you suspect a leak, hit Rotate right away. It costs nothing and kills the old link instantly.
- Clients only see content tied to their project — their own uploads and the playlists you assigned. They cannot reach other clients’ content or your wider CreaRack data.
For your clients (what they can do)
Share this part with your client — it is their user guide.
- Open the portal: click the link you received. If asked, type the PIN.
- Devices: the screens available to you, with name and IP. Your provider manages these.
- Upload content: drag files onto the box that says Drag & drop files here or click to upload. Images (JPEG, PNG, GIF, WebP) up to 50 MB; videos (MP4, WebM, MOV) up to 500 MB through the portal. Each organization also has a total signage storage allowance of 20 GB — if an upload is rejected for quota, contact your provider. Videos take a short while to process after upload.
- Create a playlist: click New Playlist, give it a name. It is built from your available content (10 seconds per item).
- Publish: click Publish on a playlist. With one screen it publishes directly; with several, you pick the screen by number. The screen picks up the change on its next automatic content check — it can take up to an hour, this is normal. Each publish from the portal is recorded in your Signage History tab (Deploy), the same as a publish from the panel, so you can see what a client published and revert it with Restore.
There is no in-page preview of a playlist before publishing — the portal does not offer a Preview button (it called an API that needs a signed-in session, which the portal never has, so it never actually worked). To see what a playlist looks like, publish it to a screen.
If the link suddenly stops working, contact your provider — they may have renewed it for security and will send you a fresh one.
